THE HAMLET
WATERFORD GREENE CLUBHOUSE RENTAL PROCEDURES


The Clubhouse is available for rent to Association residents.
Rentals are available for half day (up to 4 hours) or full day periods between 9 am to 10 pm EST.
Occupancy is limited to 90 individuals.
Included in the rental are (10) 60” round tables, (2) 6’ rectangular tables, and 100 banquet chairs.
Silverware, tableware, and paper products are not provided.
First Service Residential will manage all communications with renters of the clubhouse.

Cancellation Policy: A full refund is available if cancellation is received 10 days prior to the rental date.

BY SIGNING THIS CLUBHOUSE RENTAL APPLICATION AND CONTRACT, RENTER AGREES TO BE BOUND BY AND COMPLY WITH THE TERMS OF THIS CLUBHOUSE RENTAL AGREEMENT AND TERMS AND CONDITIONS AND WILL BE RESPONSIBLE FOR ANY AND ALL COSTS INCURRED TO CLEAN AND/OR REPAIR THE CLUBHOUSE TO ITS CONDITION PRIOR TO RENTER’S EVENT AND ALSO AGREES THAT THE COST OF ANY SUCH CLEANING AND/OR REPAIR SHALL NOT BE LIMITED TO THE AMOUNT OF THE SECURITY DEPOSIT IF THE TOTAL EXCEEDS THE AMOUNT OF THE SECURITY DEPOSIT. RENTER UNDERSTANDS THE REQUIREMENT TO SIGN THE ASSOCIATION'S LIABILITY ACKNOWLEDGEMENT, INDEMNIFICATION AGREEMENT AND RELEASE FROM CLAIMS FORM.

 

WATERFORD GREENE CLUBHOUSE TERMS AND CONDITIONS


During the Rental Period Clubhouse Address is 4000 Knight Drive, Limerick PA 19468
􀁸 The clubhouse may not be rented for commercial or profitable activities.
􀁸 If there is an emergency, please contact 911 for fire, police, or ambulance. Please report any injuries or incidents that occur during rental using the Incident Form on the scheduling website.
􀁸 Cleanup must conclude by the end of the rental period and the facility must be vacated.
􀁸 The renter shall remain onsite for the duration of the rental period and accepts responsibility for the behavior and conduct of all guests as well as the security and condition of the property during the term of the rental.
􀁸 Children under the age of 18 must be supervised at all times by an adult at the clubhouse. Please note that the clubhouse is adjacent to a community playground frequented by residents of the community. Children must be supervised while using the playground equipment. Please remove trash that is brought to the playground. Please watch children in and around the parking lot that is adjacent to the clubhouse as cars and other residents may use this lot during the rental period. The clubhouse is adjacent to protected wetlands. Please do not enter and ensure that children do not enter. Failure to comply will lead to restriction of future rentals.
􀁸 Inflatable structures are permitted and must be placed securely between the playground and the clubhouse only.
Inflatables must be set up and taken down during the rental period. Adult supervision is required.
􀁸 No animals are permitted in the Clubhouse except for medical guide (service) dogs or other service or companion animals as required/permitted by law.
􀁸 Parking is permitted in the clubhouse parking lot and the lot on Waterford Way. Do not park on the street or grass.
􀁸 The renter assumes all responsibility for food and beverage on site. Alcoholic beverages are permitted in the Clubhouse if provided by Renter. Should a caterer and/or other contractor be retained by the Renter and the caterer and/or other contractor will be serving alcohol to Renter’s guests, the caterer and/or other contractor must carry liquor liability coverage with a minimum limit of $1,000,000 liability, including coverage for any sub/independent contractors. The caterer and/or other contractor will obtain a Certificate of Insurance and name the Association as an additional insured on the Certificate. If providing alcohol to their guests, Renter;
􀁸 Shall not sell or otherwise charge guests for alcohol and will merely provide alcohol as a social host
􀁸 Shall not serve alcohol nor allow alcohol to be provided to anyone under the age of 21
􀁸 Shall provide or serve alcohol to adults over the age of 21 in a responsible manner, will not encourage or promote excessive drinking and will not serve visibly intoxicated people
􀁸 Assumes all liability as permitted by law and is responsible for his/her actions and/or the actions of his or her guests
􀁸 Agrees to indemnify, defend and hold the Association, its Board, Managing Agent and/or other members harmless in the event of any third party claim for injury, death and/or property damage; and Releases the Association from any claims that may be made by the renting party against the Association, its Board, Managing Agent and/or other members for injury, death and/or property damage.
􀁸 Alcohol is not permitted in the parking lot or on the playground or anywhere outside of the clubhouse. Intoxication, lewd behavior, and excessive profanity by renter and their guests is disruptive to the residents nearby and is not permitted. There is zero tolerance for abuse of alcohol and violations will be reported to the police.
􀁸 Smoking is not permitted in the building ever and our community playground is a smoke free zone. Smoking is not permitted by anyone under the age of 21. The designated smoking area is on the front patio away from the playground or in the parking lot. Disposal of cigarette butts in the dispenser provided is required. Throwing cigarettes butts on the ground is a fire hazard and is not permitted. Violations shall be grounds for security deposit to be revoked.
􀁸 Security cameras are located throughout the interior and exterior of the clubhouse facility and recordings are made during rentals. The association will access these if there is damage to the property or reports by our residents. By renting you agree to inform your guests.
􀁸 Decorations are permitted but please do not hang any decorations on the walls or use tape on painted surfaces.
􀁸 Quiet hours begin at 9 pm. Any excessive noise including music, yelling, or other disturbances after 9 pm will be reported to local police. Please monitor your guests and plan for DJ’s and music to be minimal after 9pm. We reserve the right to charge a $500 disturbance fine for:
     􀂾 Police response to disturbance or criminal activity
     􀂾 Violation of alcohol or smoking policies
     􀂾 Noise complaints by neighboring residents after 9 pm
     􀁸 The board reserves the right to have a representative monitor the property during the rental period.
     􀁸 All personal items shall be removed following the rental. The Association will assume no responsibility for any loss or damage of any merchandise or articles left at the Clubhouse prior to, during or following the function/rental of the Clubhouse.
     􀁸 A post event inspection shall follow prior to security deposit being returned.

 

CLUBHOUSE RENTAL CHECK OUT PROCEDURES


􀁸 Renters agree to leave the property in excellent condition upon conclusion of the rental.
􀁸 Remove trash and recycles and place in receptacle bins found in the enclosure adjacent to the clubhouse. Limerick Township requires recycling. Check bathrooms, kitchen, and the surrounding grassy area of the clubhouse to ensure garbage is removed, including cigarette butts. Remove trash left by your guests on the community playground as well.
􀁸 Remove all decorations and signage at the conclusion of your event.
􀁸 Loitering (more than 15 minutes) in the parking lot is not permitted prior to or at the conclusion of the rental period.
􀁸 The security deposit will not be returned for a-e below. Additional fees may apply. Please report any incidents or damage immediately using the Incident Form on our First Service Resident Portal.
a. Damage to property inside or outside (signage, plumbing, tape on walls)
b. Furniture placement not returned to pre event set up; damage to furniture
c. Damage to windows or window treatments
d. Damage to carpets or floors
e. Non removal of decorations


Cleaning supplies are provided in a cabinet above the kitchen sink and in the coat closet. Please note, in order for your security deposit to be returned in full, the checklist must be completed. An inspection will follow the rental and any additional fines associated with damage or misuse of property will assessed.

Kitchen and Bath:
o Wipe all surfaces. Remove all food.
o Remove all trash and place new clean bags provided in trashcans. Place trash in receptacles provided in outdoor trash enclosure. Be sure to separate recycles from trash into separate container provided.

Main Room:
o Vacuum floors if heavily soiled
o Wipe surfaces and reset tables/chairs to original configuration (see configuration diagram in kitchen)
o Close and lock all windows
o Return thermostats to “schedule”
o Remove all decorations and trash

Outside:
o Inspect playground and remove trash or debris
o Ensure decorations are removed from outside areas

Please report any injury or incidents that resulted in a visit by police, fire, or ambulance or damage to the facility on our First Service Rental Scheduling website using the Incident Form within 24 hours. Comments and suggestions can also be shared for improving the rental experience.
