Rental fees will be charged to the resident’s ledger and can be paid on the resident portal if the event request is approved. No checks accepted. *See #6 below.

General:
•Only property owners and residents of The Greens at Birkdale Village are eligible to rent the Clubhouse and, porch
•During pool season outside amenities are closed including the porch during pool hours.
•During the off-season, the porch can be included with the rental of the Clubhouse (excluding the pool deck)
•Noise ordinances must be maintained at all times when outside areas are in use.
•The Clubhouse is a no-smoking facility.
•THE OCCUPANCY MAXIMUM IS 65
Rental Fees (Indicate your use)
• Community events
The Clubhouse may be rented free of charge for neighborhood events open to all The Greens at Birkdale Village property owners and residents such as book clubs, yoga, card-playing groups, etc. Upon confirmation of availability and rental dates, the POA reserves the right to advertise the date and time of the event via newsletter, email, and/or other methods.
• Commercial events
The Clubhouse may be rented for the sum of $100.00 per event for events open to The Greens at Birkdale Village property owners and residents for a fee. Subsequent or recurring events are limited to three (3) additional times per calendar year. If the event is sponsored by the POA, the rental fee and security deposit are waived.
• Private events

The Clubhouse may be rented for the sum of $100.00 per event for Clubhouse use not generally open to The Greens at Birkdale Village property owners or residents, or events primarily for the benefit of individuals not members of The Greens at Birkdale Village.

RENTAL GUIDELINES. Please Initial 1-7.
1. Rentals may be held: Sun - Thur 9:00 am and 10:00 pm and Fri - Sat 9:00 am to 11:00 pm
2. When scheduling, POA functions (functions sponsored/endorsed by the Association) will always take precedence over private rentals.
3. Reservations are made on a first-come, first-serve basis.
4. Reservations will not be confirmed until this rental agreement is submitted and payment is received in full.

5.* Reservations will not be granted if your fob number is not filled out on this rental agreement. You will not have clubhouse access without the fob activation.
6. A non-refundable damage fee of $200 will be charge if the clubhouse:
•Is found to have damage after the event.
•Is found to have renter’s trash anywhere on site after the event.
A professional cleaning will take place after events but all of renter’s trash is to be removed by the end of the rental. Renters are responsible for the removal and disposal of trash at the end of their rental. Trash may not be left in the kitchen or restroom trash cans.
7. A seven (7) day notice is required to receive a full refund for Clubhouse rentals that are canceled.

Please adhere to the following:
1. Keep guests away from the pool area unless a lifeguard is present.
2. Absolutely NO GLASS is allowed in the pool area. Absolutely NO GLASS is allowed outside of the Clubhouse; this includes the restrooms/showers and the Clubhouse covered patio area. Glass bottles, etc. are allowed inside of the social area of the Clubhouse only. The entire deposit will be forfeited if this rule is violated. If glass pieces of any size enter the pool, the cleanup requires emptying the pool and closing it for 5 working days.

5. Clean all spills from tables, and kitchen/bathroom counters.
6. Do not leave food or drinks in the refrigerator after the party, or event. Please leave the refrigerator clean.
7. Clean all trash from the floors in the bathroom. Be sure all toilets are flushed and in working order.
8. Empty all trash cans and replace the liners. Remove all trash into large garbage bags and place it in the large roll-out bins outside of the clubhouse entrance. (If recycling, please take the items home because there is no recycling service at the Clubhouse).
9. If the event falls on a Tuesday, roll large trash bins to the curb. Commercial pick up is on Wednesday.
10. Close all windows and lower blinds. Lock all windows and all interior doors (including all deadbolts)
11. Return all furniture to the original position. No outside furniture can be taken inside and no inside furniture can be used outside. Any damage to the furniture will be the responsibility of the renter and deducted from the Security Deposit.
12. Turn off all interior lights.
13. Please note: To ensure the Clubhouse is cleaned before the next scheduled event, please check with the Clubhouse Manager regarding the event time following your event (ex: 10 am Saturday event and another at 5 pm. The 10 am renter should know there is a 5 pm event).
14. Notify 24/7 Customer Care Center (FirstService Residential) of any broken doors, toilets, or appliances at

15. When renting the Clubhouse, “Parking” is allowed on the street closest to the Clubhouse and the parking lot located behind the pool.
16. Please remove all trash and miscellaneous items used during the event from the landscaped green area. Ensure the landscaping is in the original condition before the event (no ruts, or damage to the lawn or plantings).
17. No wet swimsuits are allowed in the clubhouse.
18. Always refer to the current amenities/pool season rules.

The undersigned agrees to abide by all rules, regulations, and policies of The Greens at Birkdale Village regarding the Clubhouse, porch, and related facilities concerning the use of the facilities: to hold harmless and indemnify The Greens at Birkdale Village Property Owner's Association, its officers, agents, and employees, from any claims of negligence. The undersigned waives any claims of negligence and may be asked to carry liability insurance in an amount approved by the Association and add the Association as an additional insured. The undersigned agrees to respond to, investigate, and defend, at its sole expense, any claim or alleged claim made against The Greens at Birkdale Village Property Owner's Association, its board members, agents, or agents’ employees, arising out of the conduct of the undersigned’s operations and/or use of the facilities. The undersigned shall bear all costs and expenses related thereto.
The undersigned accepts responsibility for any damages that occur during the use of the facilities and agrees that The Greens at Birkdale Village is not liable for injuries that occur during the use of the Clubhouse, porch, pool, premises, and related facilities. I understand as a property owner and/or resident that I am fully responsible for all damages to the Clubhouse and pool facilities, my guests, and their actions.

Additional Clubhouse Information

Our Clubhouse offers meeting space suitable for your small gatherings of fewer than 25 people. This comfortable, living room-like space, is approximately 20’x38’ and furnished with:
4 couches
1 armchair
2 high-top tables with 4 bar height chairs at each table
3 plastic folding tables are available for use at the event – stored in the Clubhouse kitchen
The furniture, while it may be re-arranged for your use, may NOT be removed from the main room for any reason. It must be returned to the original formation at the end of the event.
Separate kitchen space is available for use and includes:
Full-size range
Microwave oven
Refrigerator/freezer (no ice maker)
Sink
One trash can
Additional outdoor space included in the rental price.
** PRIVATE POOL RENTAL IS NOT AVAILABLE**
•The space is available for rent with a refundable security deposit upon confirmation that the space was returned clean, without damage, and in the same condition and formation that it was received in at the time of rental.
•Please note: helium balloons are EXPRESSLY forbidden from the clubhouse space and will result in the forfeiture of the entire security deposit.
•Renters are responsible for all terms and conditions as outlined in the rental agreement.
•Renters are responsible for the removal and responsible disposal of trash at the end of the event. Trash may not be left in the kitchen, pool, or restroom trash cans. A damage fee will be charged if discovered on site after the event. As there is no on-site management of the clubhouse, we are not able to provide private showings for potential renters. Please reach out to Kitty Long, Clubhouse Committee Chair at 704-6500-5842 to schedule a viewing. Applications without Fob ID #s, initials, and signature cannot be processed.
