COMMUNITY CENTER RESERVATION REQUEST

The Community Center facilities are not intended to be monopolized by any group or individual and The Bays Board of Directors reserves the right to limit use if, in its sole discretion, determines that the frequency of use is inappropriate.

Association reservations should be made 3 months in advance and private event reservations should be made at least 1 month in advance. Events and uses that are open to all residents of The Bays will be given priority. Second priority will be given to events open only to residents of the one association (i.e. Laurel Bay). Private events will be considered after the association requests. The Community Center will not be available for reservations on holidays unless open to all residents of The Bays.

COMMUNITY CENTER RULES AND REGULATIONS

This facility is intended for the use and enjoyment of all members of The Bays Owners’ Association in good standing.

I. General Policy on Use of the Community Center:
A. Use is restricted to Community Association members and their guests. Only civic, cultural, or social events, that are hosted and attended by a property owner, are allowed. No political or commercial event, either profit or non-profit, may be held or conducted at the Community Center.
B. Regularly scheduled events will be given priority (e.g. bridge club, etc.) so long as the event continues to be supported by a sufficient number of participants. Several events with a small number of participants may be scheduled at the same time.
C. Reservation request forms, which provide space for the applicant to describe the activity, appropriate fee, if any (see Fee Schedule), and property owner responsibilities, may be obtained by contacting FirstService Residential at (800) 870-0010.
D. Cancellations must be made at least 24 hours prior to the anticipated event or a fee may be charged.
E. Reservation of the building does not include exclusive use of the pools or surrounding patio.
F. Alcoholic beverages may not be taken outside of the building.
G. Smoking is not permitted in the Community Center.
H. There is a “Carry In, Carry Out” policy. Please do not leave anything behind.
I. The thermostat is set on an automatic two-hour cycle. You can adjust the thermostat to whatever temperature you prefer, please check it periodically to see that it has not reset.
J. IF balloons are stuck in fans, you will forfeit the deposit to have them removed.

II. Other Information:
K. The Board of Directors would like to see the Associations within The Bays and members of the Associations make full use of The Park facilities. The Board will endeavor to work to develop policies and regulations that accomplish this goal.
L. The Board cannot anticipate all possible uses and reserves the right to amend these Rules and Regulations without notice.

 

COMMUNITY CENTER
USE AGREEMENT

The Community Center facility is available to The Bays of Prince Creek association members in good standing and may be contracted for parties, meetings and special occasions subject to the following general terms and conditions. Other conditions may apply depending on the use.
1. Reservations for use of the Community Center should be made by calling FirstService Residential at (800) 870-0010 and completing a Reservation Request to ascertain the availability of the facility on the desired date. Alternate dates may also be given.
Reservations may be made for a specific date and time (blackouts will apply). No function shall exceed four hours.
2. The member agrees to dispose of all trash and garbage from the function at the end of the event. Do not remove trash receptacles from the building. Any cleaning charges incurred will be billed to the Responsible Party for immediate payment (see Cleanup Guidelines). No personal items may be left behind and must be removed after each function. The Responsible Party agrees to meet with a volunteer on the day following the function in order to ensure the clubhouse has been properly cleaned.
3. The Community Center furniture must remain inside the building at all times.
4. The Responsible Party making reservations will indicate, by signature, that he/she has read and agrees to abide by the rules, regulations and conditions (enclosed) for the use and reservation of this facility. Further, the Responsible Party must be a property owner in good standing and MUST BE PRESENT during the function.
5. The Responsible Party assumes the responsibility for the following:
     a. Monitoring the consumption of alcoholic beverages.
     b. The conduct of his/her invited guests.
     c. The use of the Community Center must be concluded by 11:00 pm.
     d. Access through the gate of non-residents of The Bays.
6. Please turn off the lights and lock the door when you leave the facility.
7. Please sign and return the contract agreement with your check to reserve the Community Center upon receipt. Reservation forms not returned within 30 days will not be valid.
8. The Responsible Party accepts all responsibility for injury, losses, damage, liability, loss of use and agrees by payment of the application use fee to completely hold The Bays Property Owner’s Association and its agent harmless for loss, damage, and injury of any kind on and to the premises.
Note: Community and/or Association Events are exempt from this Hold Harmless Clause.

COMMUNITY CENTER CLEANUP GUIDELINES

Each association representative or member hosting a function at The Bays of Prince Creek Community Center must receive, check off, sign, and return this form to FirstService Residential within one week after the function has ended. Management will inspect the Community Center after the function.

o ALL TRASH AND GARBAGE MUST BE BAGGED AND PUT IN THE PROPERT TRASH RECEPTABLE (NO OVERFLOWING) LOCATED IN THE SHED ADJACENT TO THE COMMUNITY CENTER. ALL ITEMS THAT PRODUCE A NOXIOUS ODOR (SUCH AS FISH OR SHRIMP SHELLS) MUST BE REMOVED FROM THE PREMISES. NO FOOD SHOULD BE LEFT FOLLOWING THE EVENT.
o CARPETING VACUUMED AND KITCHEN FLOOR SWEPT AND MOPPED.
o KITCHEN CLEANED AND APPLIANCES TURNED OFF.
o FURNITURE REARRANGED AS YOU FOUND IT.
o ALL DECORATIONS MUST BE REMOVED.
o TURN OFF ALL LIGHTS, TV’s.

*Deposits will be fully refunded within 2 weeks after the event if no additional cleaning or damage charges are incurred.
