Committee Interest Form
Please see below the description, overview and purpose, and charter for each committee.
Each committee will:
1. Meet regularly to discuss their area of assignment(s).
2. Make concerted efforts to solicit input from the community.
3. Make recommendations and advise the Board about their assigned area(s).
4. Take meeting minutes.
5. Operate with professionalism and decorum at all times.
6. Not share any information that has not been approved by the BOD for release or dissemination.
AMENITIES COMMITTEE
The Amenities Committee will assist the BOD in establishing guidelines and policies for our HOA Amenities to include, but not limited to, the pool, clubhouse, garden plots, dog parks, security gatehouses, etc. Committee members will also be responsible for evaluating contractor performance correlating with HOA Amenities and addressing relevant concerns.
OVERVIEW & PURPOSE:
Pursuant to Bylaws Article IX and the Declaration, The Shipley Homestead Board of Directors (BOD henceforth) are seeking volunteers for the following committee. This committees will provide recommendations to the HOA Board on behalf of the community at large. Lead by at least one member of the BOD, The Board representative will act as the liaison between the committee and the Board. The BOD can’t always accomplish everything that needs to be done—particularly in a large community like Shipley Homestead; therefore resident support is especially valuable. The Committee will report to the BOD. This committee is neither autonomous nor does it have the authority to act and make decisions on behalf of the BOD. This committee will provide recommendations to the BOD.
COMMITTEE CHARTER:
Purpose & Responsibilities: The Amenities Committee is commissioned by and reports to the Board ofDirectors. The committee is responsible for establishing guidelines and policies for our HOA Amenities (i.e. Clubhouse Rental Agreements, Garden Plot Rules, etc.) for review by the BOD. Committee members will also be responsible for evaluating contractor performance correlating with HOA Amenities and communicating issues and concerns to the BOD. Also, Committee members may be asked to provide recommendations for addressing homeowner concerns related to amenities. Committee members may be privy to contractual HOA information and are required to maintain confidentiality of such information.
The amenities committee is responsible for:
- Understanding Shipley Homestead policies and governing documents;
- Fairly enforcing standards outlined in the governing documents;
- Reviewing and updating amenity policies;
- Making recommendations to the BOD;
- Maintain confidentiality of HOA contractual information;
- Evaluating amenity contractor performance in accordance with contract expectations; and
- Educating the community about set guidelines.
Term: The Committee shall exist for a period as determined by the current BOD for the year of operation at the pleasure of the Board.
Committee Organization: The committee shall consist of five to eight volunteer members under the leadership of a BOD. The committee shall meet as frequently as necessary, take minutes at each meeting and make recommendations to the BOD.
Relationship to Board: A copy of all committee meeting minutes will be sent to The Board Secretary for dissemination to the BOD. There will be no HOA funds expended for committee operations. Expenditure requests may be made and must be approved in advance by the board.
Relationship to Management: The Committee works directly under the leadership of the BOD and will not engage any vendor, contractor, or the Management Company on any issue.
Membership of any HOA committee is restricted to homeowners that are in good HOA standing (no outstanding assessments or unresolved HOA violations) at the time of committee application. Continued membership in any HOA committee is subject to continued good HOA standing. The Board of Directors retains the authority to approve homeowners' committee applications that don't meet the good financial HOA standing requirement.
ARCHITECTURAL CONTROL REVIEW COMMITTEE
The Architectural Control Review Committee, ACRC henceforth, will assist the BOD in determiningcompliance of common areas in promoting the community’s health, safety, aesthetics, and property values. Committee members will also be responsible for reviewing architectural change requests for compliance with HOA Declarations, Bylaws, and design guidelines.

COMMITTEE CHARTER:
Purpose: The Architectural Control Review Committee is commissioned by and reports to the Board of Directors. The committee is responsible for reviewing plans and specifications for proposed improvements or changes to a homeowner's property. They recommend approval or deny the requests based on the guidelines found in the CC&Rs for the community to the BOD. Additionally, ACRC members are encouraged to discuss and provide recommendations on updating HOA design guidelines.
Responsibilities: Purpose and responsibilities of the Shipley Homestead Architectural Review Committee is to review and administer the community's guidelines by overseeing changes and modifications to a property through an application and appeal process. The main function of architectural standards in our community is to help maintain property values. The authority to regulate a homeowner's right to make improvements or modifications to their property derives from the Shipley Homestead governing documents. The established processes are designed to balance the interests of individual homeowners and the community as a whole, ensuring that architectural guidelines are met, and property values are protected.
The architectural review committee is responsible for:
- Understanding Shipley Homestead compliance and governing documents;
- Managing the application and approval process;
- Monitoring the community for violations of standards;
- Fairly enforcing standards outlined in the governing documents;
- Making decisions about guideline compliance;
- Making recommendations to the BOD;
- Reviewing guidelines for adequacy; and
- Educating the community about set guidelines.
Term: The Committee shall exist for a period as determined by the current BOD for the year of operation at the pleasure of the Board.
Committee Organization: The committee shall consist of five to eight volunteer members under the leadership of a BOD. The committee shall meet as frequently as necessary, take minutes at each meeting and make recommendations to the BOD.

FINANCE AND BUDGET COMMITTEE
The Finance & Budget Committee, FBC henceforth, helps the BOD review the preliminary budget, financial reports, and insurance coverage in order to make recommendations for improvements.

This committees will provide insight and recommendations to the HOA Board on behalf of the community at large. Led by at least one member of the BOD, The Board representative will act as the liaison between the committee and the Board. The BOD can’t always accomplish everything that needs to be done—particularly in a large community like Shipley Homestead; therefore resident support is especially valuable. The Committee will report to the BOD. This committee is neither autonomous nor does it have the authority to act and make decisions on behalf of the BOD. This committee will provide recommendations to the BOD.
COMMITTEE CHARTER:
Purpose: The FBC provides financial oversight of approved aspects of the association and provides advice to the Board of Directors on financial matters. The Committee proposes updates to the annual budget and recommendations on strategic issues with financial implications. The FBC provides financial analysis, advice, and oversight of the organizations budget. Their sole responsibility is to ensure the organization is operating with the financial resources it needs to provide programs and services to the community.
Responsibilities: The FBC shall review approved financial statements and reports and present evaluations in as clear and concise a manner as possible.
The FBC is responsible for:
- Working with the BOD on the Annual HOA Budget;
- Understanding Shipley Homestead compliance and governing documents
- Reviewing monthly accounts payables against contractual cost;
- Making recommendations to the BOD for fundraising opportunities;
- Reviewing collections policy;
- Educating the community about HOA financial matters;
- Taking meeting minutes;
- Operating with professionalism and decorum at all times;
- Not share any information that has not been approved by the BOD for release or dissemination
Term: The Committee shall exist for a period as determined by the current Board of Directors for the year of operation at the pleasure of the Board.
Committee Organization: The committee shall consist of three to five members. it is essential that volunteers have some financial expertise & background who can evaluate the overall health of Shipley Homestead HOA. The committee shall meet as frequently as necessary, take minutes at each meeting and make recommendations to the Board of Directors.
Relationship to Board: A copy of all committee meeting minutes will be sent to The Board Secretary for dissemination to the BOD. There will be no HOA funds expended for committee operations. Expenditures must be approved in advance by the board.
Relationship to Management: The Committee works directly under the leadership of the Board of Directors and will not engage any vendor, contractor, or the Management Company on any issue.

Continued membership in any HOA committee is subject to continued good HOA standing. NOMINATIONS COMMITTEE
The Nominations Committee will assist the BOD in establishing guidelines and evaluating candidates for positions on the BOD. Committee members will also be responsible for reviewing candidate nomination forms for BOD positions.

Pursuant to Bylaws Article IX and the Declaration, The Shipley Homestead Board of Directors (BOD henceforth) are seeking volunteers for the following Committee. This committees will provide recommendations to the HOA Board on behalf of the community at large. Lead by at least one member of the BOD, The Board representative will act as the liaison between the committee and the Board. The BOD can’t always accomplish everything that needs to be done—particularly in a large community like Shipley Homestead; therefore resident support is especially valuable. COMMITTEE CHARTER:
Purpose & Responsibilities: The Nominations Committee is commissioned by and reports to the Board of Directors. The committee is responsible for establishing candidacy qualification policies as authorized by the Declarations and Bylaws. Also, this committee is responsible for reviewing candidate nomination forms for BOD positions prior to elections and for replacing resigning directors. They recommend approval or denial of candidates based on the established community guidelines.
The nominations committee is responsible for:
- Understanding Shipley Homestead nominations and governing documents;
- Fairly enforcing standards outlined in the governing documents;
- Reviewing and updating candidacy qualification policies;
- Making recommendations to the BOD;
- Evaluating candidate nominations according to qualification guidelines; and
- Educating the community about set guidelines.
Term: The Committee shall exist for a period as determined by the current BOD for the year of operation at the pleasure of the Board.

SOCIAL EVENTS COMMITTEE
The HOA social events assists the BOD in community in fostering a neighborly environment, by promoting a spirit of community and enhancing the quality of life for all residents. The Committee shall conduct its business in the best interest of the Association and in accordance with the Charter, the Association’s Articles of Incorporation, Declaration of Restrictions, and Bylaws.
OVERVIEW & PURPOSE:
Pursuant to Bylaws Article IX and the Declaration, The Shipley Homestead Board of Directors (BOD) are seeking volunteers for the following Committee. This committees will provide insight and recommendations to the HOA Board on behalf of the community at large. Lead by at least one member of the BOD, The Board representative will act as the liaison between the committee and the Board. The BOD can’t always accomplish everything that needs to be done—particularly in a large community like Shipley Homestead, residents therefore are especially valuable Committees report to The BOD and are neither, in and of themselves, autonomous nor do they have authority to act and make decisions, they make recommendations. They cannot speak for The Board or operate in an equal fashion.
COMMITTEE CHARTER:
Purpose: The Social Events Committee is commissioned by and reports to the Board of Directors. The committee is responsible for fostering strong relationships throughout the community. They recommend, create, oversee, and promote social events and opportunities for engagements across the community. They help the Shipley Homestead Neighborhood be a great place to live.
Responsibilities: Purpose and responsibilities of the Shipley Homestead Social Events Committee is to coordinate high quality events to the residents of the community. The main function of the committee is to coordinate social events, promote neighborly kindness, and foster community wellbeing.
The Social Events Committee is Responsible For:
- Understanding Shipley Homestead compliance and governing documents;
- Creating social events open to the entire community;
- Hosting events with a warm and welcoming atmosphere;
- Engaging in random acts of kindness throughout the neighborhood;
- Seeking out ways to make others feel valued and appreciated
Term: The Committee shall exist for a period as determined by the current Board of Directors for the year of operation at the pleasure of the Board.
Committee Organization: The committee shall consist of three to five members who have been current on their HOA Fees for 3 consecutive payments. It is essential that volunteers have people skills and no history of community bullying. who can evaluate the overall health of Shipley Homestead HOA. The committee shall meet as frequently as necessary, take minutes at each meeting and make recommendations to the Board of Directors.
Relationship to Board: A copy of all committee meeting minutes will be sent to The Board Secretary for dissemination to the BOD. There will be no HOA funds expended for committee operations. Expenditures must be approved in advance by the board.
Relationship to Management: The Committee works directly under the leadership of the Board of Directors and will not engage any vendor, contractor, or the Management Company on any issue.
Membership of any HOA committee is restricted to homeowners that are in good financial standing at time of committee application. Continued membership in any HOA committee is subject to continued good financial HOA standing. Good financial HOA standing means there is no pending HOA financial assessment on the homeowners account for three consecutive payments. The Board of Directors retains the authority to approve homeowners' committee applications that don't meet the good financial HOA standing requirement.
