SHARON SOUTH CLUBHOUSE RENTAL RULES AND REGULATIONS

Sharon South Clubhouse Fees:

Homeowners:

Rental Half Day (4 hours): $150.00

Rental Full Day (8 hours): $200.00

Cleaning/Security Deposit: $250.00

Outside Rentals

Rental Half Day (4 hours): $250.00

Rental Full Day (8 hours): $300.00

SHARON SOUTH CLUBHOUSE IS A SMOKE FREE FACILITY. ABSOLUTELY NO SMOKING, E-CIGARETTTES OR VAPING IN THE CLUBHOUSE OR WITHIN 20 FEET OF THE BUILDING.

a. All activities must be confined to the clubhouse in such a manner as to avoid disturbing nearby residents. Activities are not to extend past 11:00P.M. Should the police, community manager or any resident or Sharon South Board member, be summoned or need to respond to any type of disturbance or complaint due to the activities (i.e. excessive noise, fighting, etc.) the Lessee's full security deposit will be forfeited. Residents have been advised to call police for any noise disturbance occurring after 11:00 P.M. 

b. The pool area may not under any circumstance be used in conjunction with the leasing of the clubhouse. This includes the swimming pool, pool decks, or any other pool facility.

c. Rentals are limited to the main meeting room, kitchen, entrance hall and restrooms. Under no circumstances may the rooms with gym equipment be used, or the gym equipment be used.

d. Guests are expected to use the parking area adjacent to the clubhouse. All numbered parking spaces are strictly for the use of our residents, and they are not to be used under any circumstances. Any cars found parked in assigned residents spaces are apt to be towed at the guest expense.

e. All children in attendance must be closely supervised by parents or authorized adults at all times. Rough housing, running, jumping, climbing onto furnishings etc. is not allowed. Small children will not be allowed to use ink pens, magic markers, crayons, glue, glitter, scissors, paints, etc., while in the clubhouse, unless closely supervised by an adult.

f. The front glass doors to the clubhouse should remain closed during all activities.

g. Lessee shall also be responsible for the following: All trash and debris must be removed from all areas. This includes: Main entrance (inside and out), foyer, meeting room kitchen, hallways, restrooms, and the outside areas (porch, lawn around main entrance, parking lots, etc.). Littering by attendees will not be tolerated. All trash and debris must be placed in plastic trash bags, secured with twist ties, and placed in containers outside the building on the West end. This includes the contents of the waste baskets in the restrooms, etc. Absolutely no trash bags, boxes, or otherwise, should be placed on the ground outside of trash containers. If trash containers are full and will not hold all trash, all excess/overflow trash must be removed from the premises by the lessee and disposed of.

h. Any clubhouse furnishings moved or rearranged (bar/bar stools, couches, tables, lamps, chairs, trash cans, silk flowers/trees) must be returned neatly to their original place after each function. Any tables, chairs, cleaning supplies, etc. used or removed from our storage room, must be returned to their original place with any mops being rinsed and dried before storing. All items should be put back as neatly as possible. Tables and chairs should be free of spills, etc., before returning to original place. All furniture (including bar and lobby furnishings) should be wiped off and clean (free of crumbs, food particles, spills, glass rings, etc.) Any carpets/rugs must be vacuumed thoroughly at the end of each function. Tile and vinyl floors in the meeting room, kitchen area, entrance foyer, hallway, and both restrooms must be swept and mopped thoroughly. Glass entrance doors must be cleaned with Windex and free of fingerprints, smudges, tape marks, etc. Commodes in both restrooms should be flushed and all trash or paper picked up. Waste cans must be emptied. Any plumbing/electrical problems should be reported to the Community Manager promptly.

i. Personal decorations are allowed; however, we ask that you refrain from taping anything to walls or other surfaces. Personal decorations must be removed completely from walls, ceiling, fireplace mantle, etc. Note: If party streamers are tucked under ceiling tile frames instead of using tape, when removing the streamers, all ceiling tiles should be put back neatly in the frames.

j. When the kitchen area is used:

  • The counter tops, sink, refrigerator, and stove must be cleaned.
  • The kitchen floor must be swept and mopped thoroughly.
  • Food or food scraps should never be put into the drains.
  • All trash cans must be emptied. Absolutely no trash should be left in any of the trash cans.
  • The refrigerator/freezer must be left empty and should be wiped out thoroughly. This includes: wiping up of spills and removal of any food particles from the fresh food drawer and all shelves.

k. The fire place in the large meeting room cannot under any circumstances be used. Period. 

l. Emergency Exit is to be used for Emergency Evacuation only. Opening doors will activate loud sirens to alert nearby residents of an emergency situation.

m. Before leaving the premises: the thermostat in the meeting room should be set at 65 degrees heat in cold weather, and 75 degrees cool in warm weather. All lights in the clubhouse should be turned off. All doors should be locked, including: the bolts at the top of both restroom doors-top latches only. The main entrance to the meeting room (top and bottom latches), and storage room. The main entrance has double glass doors: these are controlled by remote app and will be locked at 11:15 P.M.

n. Clubhouse must be cleaned completely by 10:00 A.M. of the day following use. A board member inspection will be made according to these specific rules and determination will be made as to whether any violations have occurred. Providing no violations are found, lessee's security deposit will be returne3d within 7 days. Any violation of this agreement can result in part, or all, of the security deposit being retained. Lessee will also be held financially responsible for any damage to furnishings, building,  or other property, occurring as a result of neglect, violence abuse, or misbehavior of Lessee's guests. 

o. Any Lessee's not wishing to clean up the clubhouse must state their intention and furnish the management company with a check made payable to Sharon South Homes Association in the amount of the respective security deposit/cleaning fee at least seven(7) days prior to the actual function date. Said clean-up fee shall be refunded in full if Lessee cancels function date.

p. Absolutely no one under the age of 21 years will be permitted to consume alcoholic beverages on these premises. Sale of alcoholic beverages is also strictly prohibited.

q. Lessee agrees to indemnify and hold harmless the Sharon South Homeowner's Association, it's officers, directors, agents, servants, and employees from any and all liability of any kind whatsoever arising out of the Lessee's use of the Sharon South Homeowner's Association facilities including any and all claims, demands, liabilities, costs and expenses, including attorney's fees, asserted by or on behalf of any person, firm, or corporation arising by reason of injury or damage to personal property:

A. Occurring on the Premises or away from the Premises related in whole or in part to any act or omission on the part of Lessee or any servant, agent, employees, licensee, assignee, under tenant, guest or invitee Lessee:

B. Resulting from any use of the Premises:

C. Resulting from the serving of or use of alcoholic beverages by anyone during the use of the Premises, whether such individual is intoxicated or not and whether or not reasonable precautions are taken to avoid serving alcohol to an intoxicated individual: and

D. Resulting from any matter or thing growing out of the occupancy or use of Premises by Lessee or anyone holding or claiming to hold through or under Lessee.


 

SHARON SOUTH CLUBHOUSE RESERVATION AGREEMENT

The undersigned, here in after referred to as Lessee and Sharon South Homeowner's Association, by and through its community manager, agree as follows:

  1. Lessee agrees to rent the Sharon South Homeowner's Association clubhouse on the following dates:  

 Lessee agrees to pay the rental fee in the amount of $  simultaneously with the execution of this agreement.

  1. Lessee agrees to make the security deposit/cleaning fee simultaneously with the execution of this agreement. If no violation of the conditions set forth below occurs, the deposit will be returned within seven (7) working days after the event. The rental fee is non-refundable•. 

Cancellation: Cancellation by the Lessee must be made in writing to the community manager. If cancellation is received at least seven (7) days in advance of the rental date, the security deposit will be returned. Cancellations within seven (7) days of the rental date will result in the forfeiture of one-half of the security deposit. The rental fee is nonrefundable.

         Lessee agrees to indemnify and hold harmless the Sharon South Homeowner's Association, its officers, directors, agents, servants, and employees from any and all liability of any kind whatsoever arising out of Lessee's use of the Sharon South Homeowner's Association facilities including any and all claims, demands, liabilities, costs and expenses, including attorney's fees, asserted by or on behalf of any person, firm or corporation arising by reason of injury or damage to person or property:  

  1. Occurring on the Premises or away from the Premises related in whole or in part to any act or omission on the part of Lessee or any servant, agent, employee, licensee, assignee, under tenant, guest or invitee Lessee;
  2. Resulting form any use of the Premises;
  3. Resulting from the serving or use of alcoholic beverages by anyone during the use of the Premises, whether such individual is intoxicated or not, whether reasonable precautions are taken to avoid serving alcohol to an intoxicated individual; and
  4. Resulting from any matter or thing growing out of the occupancy or use of the Premises by Lessee or anyone holding or claiming to hold through or under Lessee.
