CLUBHOUSE RENTAL INFORMATION

 

Members of The Northwest Village at North Creek Homeowners Association (hereinafter the “HOA”) and their approved guests are permitted to reserve the Clubhouse for personal events.

Use of the clubhouse is limited to members in good standing with the HOA, i.e., all annual dues are current and no outstanding liens or covenant violations exist on member’s property.

The member reserving the clubhouse must host the activity, be present, and be personally responsible at all times. The member reserving the clubhouse must remain on the premises following the conclusion of the event until all attendees have departed.

All events (including the set up and clean up) are limited to a total of four (4) hours between the hours of 8:00 AM and 10:00 PM with the maximum attendance of 50 people per Berkeley County fire code.

Persons less than 21 years of age are prohibited from renting the clubhouse.

The Association reserves the right to change the facility fee and deposit fee at any time. The Association also reserves the right to grant or deny rental of the clubhouse to anyone for any reason at the Association’s sole discretion.

The Association reserves the right to allow the use of the facilities for events which are offered to all members of the association and may waive or reduce the facility fee and/or deposit for these events. These events will take precedence over private events.

Reservations: Contact FirstService Residential to inquire about availability and schedule your event by emailing [email protected].   Reservations can also be conveniently made online through the Resident Portal (https://northwestvillageatnorthcreek.connectresident.com/). The Resident Portal will allow you to view available dates for reservations, complete the reservation form, and submit payment online.

The Clubhouse Rental Application & Agreement along with payment for the rental fee and deposit must be received no later than 7 business days prior to the event to hold your reservation. Reservations will automatically be canceled without receipt of the signed agreement and/or fees within that time.

Rental Fees: Payment for the rental fee of $250.00 (limit of 50 attendees) and deposit of $250.00 must be received at least 7 business days prior to the event date. Fees paid by check are to be paid in 2 separate checks:

  • Check for clubhouse rental amount payable to Northwest Village at North Creek HOA
  • Check for deposit amount payable to Northwest Village at North Creek HOA

Please be advised that deposit checks will be processed upon receipt. It is important to note that deposit refunds, regardless of whether they are paid by check or online, may take up to 30 days for the refund to be issued. Refunds will be mailed to the mailing address on file.

I understand and agree to all the following conditions and rules in reserving and utilizing the Northwest Village at North Creek Clubhouse:

 

  1. I am a member in good standing with the Northwest Village at North Creek Homeowners Association, i.e., all annual dues are current and no outstanding liens or covenant violations related to my property.
  2. I agree to pay the following deposit and usage fees: $250 for up to 50 people; $250 refundable deposit
  3. I agree to contact Northwest Village at North Creek at 800-870-0010 in the event of damages, malfunctions or emergencies during my scheduled event.
  4. I agree to be present always while the scheduled event is in progress and to not have more than people in attendance.
  5. I agree to maintain a minimum 5:1 child to adult ratio of attendees.
  6. I agree to not allow guests to wear wet clothing inside the clubhouse.
  7. I understand that animals of any kind, except certified service animals, are not permitted in the clubhouse.
  8. I agree not to move the clubhouse furniture inside or outside of the clubhouse.
  9. I understand that music or other noise shall not be heard outside the clubhouse and agree to keep the clubhouse doors closed at all times during the event.
  10. I agree to have guests park in the parking lot used for the pool .
  11. I understand and agree that members and their guests who would otherwise be lawful consumers under applicable city, county and state laws may be the only guests to consume alcoholic beverages on the premises. By allowing the consumption of alcoholic beverages at clubhouse private events, the Northwest Village at North Creek Homeowners Association, its Board and Committees do not assume liability in any form, implied or otherwise, that may arise because of said consumption. If alcoholic beverages are being served, the members must obtain a limited special event permit or other such permits as required by state law and provide a copy to the Management Company. The sale of alcoholic beverages within the Clubhouse is strictly prohibited.
  12. I understand that all events may be monitored on camera.
  13. I understand that Commercial use of the Clubhouse is not allowed.
  14. I understand that rental of the Clubhouse does NOT include use of the exercise facility, pool or pool deck area.
  15. I understand that if damage to the clubhouse occurs, the deposit shall be applied to the amount of damage incurred and/or forfeited. If the deposit is not sufficient to cover ALL damages, then I agree to immediately pay the additional amount or be subject to legal action.
  16. I agree to complete the clean- up check list and return the clubhouse in its original condition, otherwise, the HOA will deduct the clean- up fees from my deposit. If the deposit is not sufficient to cover ALL costs, then I agree to immediately pay the additional amount or be subject to legal action.
  17. I understand that a violation of any of the clubhouse rules will be grounds for disciplinary action through the Association in accordance with the Association’s governing documents as well as potential revocation of amenity privileges.
  18. I agree to indemnify and hold harmless the Association, its officers and directors, agents and employees from and against any and all claims, liabilities, losses, damages, actions, costs, expenses and demands of any party made against the Association, its officers and directors, agents and employees arising out of or in connection with any event held in the clubhouse by a member pursuant to this Agreement or otherwise.
  19. I understand that the Association reserves the right to enter the clubhouse and terminate my use thereof should I violate any term hereof or should the conduct of any person using the facility endanger the health, safety, or well-being of any person or constitute a threat to any property.
  20. I further agree to all of the above conditions in reserving and utilizing the Northwest Village at North Creek clubhouse.

CLUBHOUSE CLEAN-UP CHECKLIST

The Association does not provide a cleaning service after each event. Therefore, it will be necessary for the homeowner to leave the facility clean; otherwise, you will be responsible for the cost of the additional cleaning service and/or repairs.

  • Clean refrigerator, bathrooms, microwave oven, countertops and table tops
  • Sweep floors and pickup with dustpan, do not sweep to the ground as it may attract animals. 
  • Mop up any spills.
  • Bathrooms clean with no trash or water on floor.
  • Empty all trash cans and remove all garbage from premises.
  • Inspect surrounding grounds to ensure no trash, cigarette butts, food, etc.
  • Inspect general overall condition of facility.
  • Lock all windows and doors
  • Turn off lights
