CLUBHOUSE/POOL PARTY RENTAL AGREEMENT
Clubhouse reservations are not available Friday – Sunday before Memorial Day and Labor Day as well as the day of Memorial Day and Labor Day; the day before, the day of, and the day after any other holiday including, but not limited to Halloween, Thanksgiving, Christmas, New Years, and the 4 of July.

RULES AND REGULATIONS:
The clubhouse facilities may be rented by Gilead Ridge residents for private parties. The clubhouse cannot be rented by non-residents. The homeowner(s) assessments must be paid in full before anyone may use/rent the facilities. The homeowner(s) must be present for the entire duration of their event. Gilead Ridge Homeowners Association reserves the right to grant or deny rental of the clubhouse. In scheduling use of the clubhouse, HOA functions take precedence over private parties. All clubhouse rentals are limited to the hours of 8:00 A.M. to 12:00 A.M. All activities must end, and the area vacated and cleaned, no later than 12:00 A.M. Music must be kept at a moderate level. Excessive noise, abusive or unacceptable behaviors resulting in complaints will not be tolerated and may result in revocation of the privilege to use the facilities in the future.
The HOA and/or its clubhouse representative reserves the right to terminate use at any time if a violation of the rules exists/persists (e.g., keep security deposit, keep fee, etc.).
There is a maximum attendance of 35 people. For every 10 guests under the age of 21 years an adult over the age of 21 must be present to chaperone.
The clubhouse is a NON-SMOKING FACILITY. Renters assume all responsibility for ensuring their guests comply with this rule.
All areas of the clubhouse must be returned to pre-rental condition. Please see the attached checklist.
A non-refundable damage fee of $150 will be charged IF the clubhouse is: found to have damages after the event or renter’s trash, etc. is anywhere onsite after the events. Any cost exceeding the damage fee will also be paid by the renter. RENTER WILL BE NOTIFIED BY MANAGEMENT OF CHARGES.
There is a fee of $100.00 to rent the clubhouse from 8:00am to 12:00am. Rentals are NOT secure until payment has been received. If FirstService Residential does not receive payment within 48 hours of receiving approval, the rental is void.

POOL PARTIES:
All parties and special events at pool side are subject to the established rental fee and residents must sign the rental agreement even if the Clubhouse will not be used. Only one event is allowed per day. No private functions will be allowed on a day whereas the Social Committee has a scheduled function. Due to the lack of perimeter lighting, there is
absolutely NO SWIMMIMG past normal pool hours even if you are renting the facilities for an extended time. Residents violating this ordinance will automatically forfeit the security deposit and may face suspension of common area privileges.
All pool rules apply during your pool reservation including supervision of children. Lifeguards are recommended and available for hire at the renter’s expense. Please visit www.swimclubmanagement.com for more information regarding lifeguards.
AGREEMENT:
I/We shall hold harmless and indemnify Gilead Ridge Homeowners Association, Inc., its successors and assigns, and its officers and directors, both individually and collectively, from and against any and all liabilities, costs, damages, expenses, and attorney’s fees or costs of defense resulting from or attributable to any and all acts and omissions of my/our guests, or attendee’s person, possessions, or property.
I/We accept full responsibility for maintaining the condition of all property (buildings, carpeting, furniture, appliances, etc.) as originally provided at the time of the pre-event inspection. I/We fully understand that if the property is not in the condition as it was at the time of the pre-event inspection, the security deposit will be forfeited, to the extent
necessary to return the facilities to their pre-event condition. In the event damages exceed the total dollar amount of the security deposit, I/We hereby accept full responsibility for the payment of all damages over and above the amount of the security deposit.
I/We understand if this payment is not forthcoming that the Gilead Ridge Homeowners Association, Inc. can create a lien against my/our property.
I/We agree to pay all reasonable costs, attorney’s fees, and expenses that shall be incurred by the Gilead Ridge Homeowners Association, Inc. if legal action is taken to enforce the terms of this Agreement.
I/We have received a copy of, and agree to abide by the “Rules and Regulations” concerning the Clubhouse. I/We understand that failure to comply with these “Rules and Regulations” may result in the loss of my/our right to use the Clubhouse facilities.

HOMEOWNER CLEAN-UP CHECKLIST
The Association does not provide cleaning service for private events. Events may be booked
back-to-back, necessitating that each homeowner leave the facility clean. Otherwise, you will
be responsible for the cost of the additional cleaning services. Your fee pays for management
company/clubhouse chairperson coordination services, follow-up inspection and periodic
cleaning.
Pre-Inspection / Post-Inspection Checklist (sent to renter via pdf after signing agreement. Please Print pdf and use for your rental inspections):
Kitchen cabinets and counter tops clean.
Refrigerator clean and empty.
Sinks clean.
No food or drinks left behind.
Microwave clean and empty.
Tables left clean and all furniture in its place.
Floors clean – tile must be mopped.
Carpet vacuumed.
Glass doors cleaned.
Bathrooms clean and tidy.
No trash or water on the floor.
All trash cans emptied and bags removed from premises
Surrounding grounds in order.
Inspect general overall condition of facility.
